1. Purpose of This Policy

This policy defines how video is used, managed, and referenced within MinistryCentral Europe.

It exists to ensure that:

  • Video content is consistent and reliable
  • Platforms remain stable and performant
  • Instructors are not burdened with technical decisions
  • Media usage aligns with documentation and course standards

This is a policy document, not a technical tutorial.


2. Role of Video in the System

Video is used to:

  • Deliver teaching content
  • Support documentation where visual explanation is helpful
  • Communicate instructions or onboarding guidance

Video is not used for:

  • Canonical authority
  • Platform configuration explanations
  • Replacing structured documentation where text is clearer

Text remains the primary carrier of authority.


3. Approved Video Platforms

Canonical Video Platform: Vimeo

Vimeo is the primary and canonical hosting platform for instructional and course-related video.

All course videos must:

  • Be uploaded to Vimeo
  • Be embedded from Vimeo into platforms
  • Follow established naming and organization standards

Supplemental / Communication Video: Loom

Loom is approved for:

  • Short instructional clips
  • Onboarding explanations
  • Internal guidance
  • Walkthroughs and demonstrations

Loom videos are supplemental, not canonical.


4. What Must Not Be Used

The following are not permitted as canonical video sources:

  • Direct uploads to WordPress
  • YouTube (for internal training or documentation)
  • Personal cloud storage links
  • Temporary or expiring links

These create fragility and inconsistency.


5. Video Authority & Lifecycle

  • Video does not create authority on its own
  • Authority arises only when video is:
    • Referenced by canonical documentation
    • Placed within an approved course or article
  • Videos may be replaced, updated, or deprecated
  • Canonical documentation always takes precedence

If video conflicts with text, text governs.


6. Responsibilities by Role

Instructors

  • Provide teaching content
  • Record videos when requested
  • Do not upload or embed independently

Instructor Coordinators

  • Guide instructors on expectations
  • Coordinate video intake
  • Ensure materials are complete

Media / Video Contributors

  • Manage uploads to Vimeo
  • Ensure naming and organization
  • Verify playback quality

Content Editors & Coordinators

  • Reference videos appropriately
  • Ensure video supports, not replaces, documentation

7. Performance & Reliability Considerations

Video usage must:

  • Avoid unnecessary autoplay
  • Respect bandwidth constraints
  • Not degrade page performance
  • Be embedded consistently

Excessive or decorative video is discouraged.


8. Accessibility & Longevity

Where feasible:

  • Captions should be provided
  • Videos should remain accessible long-term
  • Broken or outdated videos must be flagged

Video that cannot be maintained should not be published.


9. Common Pitfalls to Avoid

  • ❌ Uploading videos directly to WordPress
  • ❌ Using personal or temporary links
  • ❌ Treating video as authoritative documentation
  • ❌ Publishing video without context
  • ❌ Bypassing media coordination
